Title: Administrative Receptionist
Position Summary:
Serve as the first point of contact for those calling
or visiting the church. Receives all incoming phone calls
and directs or screens callers. Provide direction to all
church visitors. Serve as information/resource person
for Third New Hope. Possess a solid knowledge of the church,
its mission and ministry activities in order to properly
answer and direct inquiries. Perform the duties of the
administrative receptionist as outlined below:
Responsibilities Include:
Receptionist/Mailroom
- Have a through knowledge of Third New Hope's mission,
worship, event calendar, and ministry activities. Serve
as the information resource person for the church, its
members, visitors and vendors.
- Answer all incoming calls with poise and professionalism,
providing assistance or directing callers to appropriate
staff persons.
- Greet all office visitors and assist or direct to
appropriate staff persons as required.
- Distribute incoming mail, faxes, deliveries and office
memorandum to appropriate areas or staff persons.
- Coordinate conference room usage for all meeting planning.
Create, Update and Post Weekly Schedule in designated
areas. Post meeting reserve signs on all doors prior
to scheduled meetings. Follow-up confirmation with individuals
on room assignments.
- Maintain voice mail system including checking messages
and distributing to appropriate persons. Train staff
on the use of the phone and voice mail systems.
- Maintain postage meter and bulk mail accounts.
- Maintain all general office equipment serve as liaison
for equipment vendors (i.e. copiers, fax, mail and postage
machines).
- Train staff and volunteers on usage of all general
office equipment and church policies on use of the same.
- Maintain office lobby, workroom and general meeting
facilities.
- Maintain inventory of resource room and computer lab
and order supplies for general office use and for office
business equipment (including staff personal printers).
Administrative/Staff Assistant
- Notify the office staff, ministry leaders, ministers
and deacons of funerals and church outings.
- Create, Maintain & Update Pastoral Care List and
distribute to church staff, leaders and Pastoral Care
Team.
- Create memos and various business letters and correspondences
as requested.
- Update the church master calendar; coordinate calendar
with administrative assistant
- Assist staff with various tasks such as preparing
mailings, study materials, copying, ordering supplies.
- File correspondence, reports and other documents
- Assist Ministry Leaders/Staff/Ministers with administrative
support
Required Skills:
- 2-3 years experience in general office/church office
or administration experience.
- Type at least 50 words per minute and possess a desire
to learn new desktop publishing skills.
- Professional, friendly and pleasant phone manners
a must.
- Possess a servant's heart, integrity, discretion,
a strong work ethic, adaptability, loyalty, and a willingness
to learn new tasks and functions.
- Possess ability to handle privilege/confidential information
- Good verbal and written communication skills.
- Superior time-management skills and the ability to
multi-task.
- Proficient computer skills with Microsoft Word, Excel,
the Internet and have knowledge of basic database programs
and data entry skills.
- Must be self-motivated, intuitive, flexible, detail
oriented, and have the ability to work independently
without close supervision
